On this screen

Payer — new and edit

An organisation that pays for work, and how they are invoiced.

Site — new and edit

A site or location belonging to a payer.

Contact — new and edit

Somebody to deal with at the payer.

Price — add and edit

What this payer pays for one service.

Rate card — new and dates

A dated set of prices for a payer.

  • Cards are dated.

Copy a rate card forward

Clone a card into a new period so you can adjust rather than retype.

Contract — new and edit

A block agreement or purchase order: its value, how many visits it authorises, when it ends, and how early to warn you.

  • Give it a value, an authorised quantity or an end date.
  • The reference is their number, and it has to be unique for that payer — two contracts with one PO number would mean two ceilings for one agreement.
  • "Warn at" is a percentage of the ceiling, per contract.

Contracts & POs

Block agreements and purchase orders: what was agreed, how much of it is left, and when it runs out. Attach a case to a contract and the work draws it down.

  • A contract showing $2,000 left with $3,000 booked against it is already over — that is the point of showing both.
  • A contract needs a value, an authorised quantity or an end date.
  • A case can only draw on a contract belonging to its own payer.
