For support coordinators & plan managers

Support coordination & plan management software: The money lanes, without money-only software.

Coordination and plan management run on more than claims, so Corella gives both lanes their proper tools — beside the client record, the documents and the budgets the work actually depends on.

Here, the people you support are participants and your team are support coordinators.

Coordination and plan management run beside delivery on one record — an organisation that only coordinates never sees the rostering screens.

How your words work

What's in it

Both lanes, properly

  • Billable and non-billable case notes, with the minutes typed on each
  • Case notes become CoS claims in the same NDIA bulk file
  • Coordination reports on their own screen, each with its participant and due date
  • Plan-management invoice inbox for provider invoices
  • Claims plus an ABA bank file for the payment run
  • Participant statements, and budgets with utilisation bars

How it works

The detail, on the real screens.

From provider invoice to paid, in one lane

Provider invoices land in an inbox, validate against the participant's plan and budgets, claim through the same 16-column NDIA file, and pay out through an ABA file your bank ingests. A monthly statement per participant, ready to print, keeps them in the loop.

Case notes that bill what they're worth

Coordinators write case notes with billable time attached — the note is the evidence and the claim line in one motion, priced at the national limit for its item. The coordinator is told in Corella when a participant's billable time reaches 85% of their coordination budget, and the reports have their own screen, each with its participant and due date.

Every provider invoice checked before the participant is asked

Key in a provider's invoice and Corella checks it at once: the participant is plan- or self-managed with an NDIS number, the provider's invoice number isn't a repeat, the budget category on their service agreement has room, and no line is priced above the NDIS national price limit for its service day. A clean invoice goes to the participant's portal to approve or decline; anything else waits on hold with its reason, and a line over the limit names the item, the price and the limit. An invoice left unanswered for five days is approved and logged as automatic, and releasing a held one restarts the five days.

The participant approves in the portal, and sees what happened next

Whoever holds the portal login linked to the participant sees each validated invoice with its lines, approves it or declines it with a reason, and your finance team is told either way. Invoices already approved, and those paid to the provider, stay listed underneath. The same portal shows their schedule and their plan budget, which counts plan-managed invoices and your own issued invoices inside the agreement's dates — never a draft or a void.

Case notes priced at the limit, and claimed only where the NDIA pays

A coordinator writes a case note, ticks whether it's billable, picks Level 1, 2 or 3 and enters the minutes. Corella prices billable time on the server at the NDIS national price limit for that item on the note's day — for 2026-27, $80.06, $100.14 and $190.54 an hour — so a stale rate can't slip in. Billable notes for participants the NDIA pays directly, agency-managed on the note's day and with an NDIS number, batch into the NDIA's bulk payment request file, each with a stored claim reference, and the NDIA's outcome file can be imported against them. Notes for anyone else are counted and named rather than claimed.

Fair questions

What people in this sector ask us.

We also deliver supports — does that clash?
No, it's the point. Delivery, coordination and plan management are modules on one platform — an organisation that does all three runs all three lanes on one client record, and one that doesn't never sees the extra screens.
Can participants see where their funds are?
Budgets carry utilisation bars for your team, a monthly statement per participant is ready to print, and the portal lets them see funding and approve or decline invoices where you enable it.
Does Corella check provider invoices against the NDIS price limits?
Yes. When an invoice is entered or re-validated, each line's unit price is compared with the national price limit for its item on its service day, and an invoice with a line over the limit goes on hold with the item, price and limit in the reason, for your office to review.
Can participants approve invoices, and what if they don't answer?
Yes. A validated invoice goes to the participant's portal with a notice; whoever holds the portal login linked to them can approve it, or decline it with a reason, and your finance team is told either way. Left unanswered for five days, it's approved automatically and the audit log says so; releasing a held invoice restarts the five days with a fresh notice.
How is a billable case note priced?
Corella prices each billable case note itself, at the NDIS national price limit for the chosen item on the note's day: $80.06, $100.14 and $190.54 an hour for Levels 1, 2 and 3 in 2026-27. The price is worked out on the server, so a stale rate can't slip in.
Which case notes go into the coordination claim file?
Billable notes for participants the NDIA pays directly — with an NDIS number, and agency-managed on the note's day by their service agreement (or the record's default where no agreement covers it). Notes for anyone else are counted and named in the message rather than claimed, and the file leaves "ABN of Support Provider" blank, as the NDIA's December 2025 guide asks. Each line carries a claim reference stored when the batch is made, so a second download matches the first.
Does Corella read the NDIA's outcome file?
Yes, for plan-management and support-coordination batches alike. Import the NDIA's outcome CSV against a batch and Corella records paid, part-paid or rejected for each line, with the amount paid and any rejection code; lines are matched on the stored claim reference, and any row without a match is listed for you to check, never guessed.
What goes in the ABA file for the provider payment run?
One credit per provider, totalling that provider's invoices in the batch that the NDIA has paid and that haven't been paid on yet — so a claim the NDIA rejected, or one already paid, isn't paid again. It pays the BSB and account on the provider's record, with the first 18 characters of the batch name as the reference; your own account from Settings is the trace account, and your plan-management fees stay out. Before it builds, it checks every provider, and your own account, has a six-digit BSB and an account number, and names any that need one.
What's in the plan-management claim file?
Every line of every approved invoice in the batch, your monthly fees included, in the NDIA's 16-column bulk payment request layout: your registration number, the NDIS number, service date, item, a stored claim reference, quantity, unit price, GST code, claim type and the provider's ABN (yours on fee lines).
What does a participant's monthly statement show?
At month end, one button charges the monthly plan-management fee to every active plan-managed participant, at the national limit, and a second builds a statement for each participant with invoices that month: every invoice processed, the total, and what's left in each budget category on their service agreement, under your logo and NDIS registration, ready to print or save as a PDF. An invoice entered after its month's statement carries into the next one under its own heading, so a statement already issued never changes.
How does Corella keep coordination reports on track?
Corella holds each participant's implementation, mid-term and end-of-plan report with its due date and text, shows anything past due in red on the reports list, and Submit records that it's done.
