Step by step

  1. Set the documents you ask for once, under Documents we ask for: a list for every provider, and anything a discipline needs on top. A discipline you leave alone asks for its registration.
  2. Add each provider, then open them and record each document with the day it lapses. Attach the copy if you keep one.
  3. Needs attention lists every provider with something missing, lapsed or lapsing within 30 days.
  4. Put a provider on a client's team from that client's record: Overview, then Allied health team.

Tips

  • The provider is emailed a reminder from your organisation if their email is on record, your email is switched on, and your organisation has a reply-to email address, because the email asks them to reply with the renewed copy.
  • Each document can be one you complete yourselves, good for so many months from the day it was issued, or kept with its number. Set them under Documents we ask for.
  • Stopping a provider keeps everything on record and stops their reminders.

Provider — add and edit

A practice or a sole practitioner you refer to: their discipline, contact person, email, phone and ABN. The documents their discipline is asked for are listed as you choose it.

Record a document

  • Renewing records a new copy. The newest of each kind is the one that counts.
  • A document your list counts from the day it was issued (a police check, good for 3 years) asks for that day instead, and works out when it lapses: the day before the anniversary.
  • A number your list keeps is asked for every time, starting from the one on the last record. An AHPRA registration number is three letters then ten digits, such as PHY0001234567.

Documents we ask providers for

What you ask of every provider, one per line, and what each discipline needs on top. Use ours puts a discipline back to its registration.

  • For each document: tick We complete it for your own paperwork about the provider, such as a contractor agreement.
  • Good for so many months from issue makes the document ask for the day it was issued. Keep its number makes the number required.
  • Tick who keeps them current — one or more people; they are told in the app when a document lapses.

Confirm the document

A copy the provider sent becomes their record of that document, in your name. Correct which document it is, the day it lapses or was issued, or its number, first if you need to.

  • Open the file before you confirm. Until you do, their record is unchanged.

Return the document

Send a copy back to the provider with the reason, which they read when they next sign in. Their record is unchanged.
