Rostering and timesheets

Schedule

The roster board, as a day, a week or a month. Create shifts, assign carers, fill vacancies and handle the period from one screen.

Updated 15 October 2026Corella’s help for this screen, word for word

Module:
Service delivery & rostering, switched on in Settings → Modules
Access:
Roster and shifts at Manage, set by role in Settings → Roles

Step by step

  1. Choose the time frame with Day / Week / Month. The arrows then move by that period, and Today comes back to now.
  2. Day lays every visit out on a clock, so short back-to-back appointments and the gaps between them are both readable. Two visits at the same time stack rather than overlap.
  3. Month shows one cell per date with the number of visits, the hours and anything unassigned. Click a date to open that day.
  4. Switch between Staff and Clients with the toggle at the top.
  5. On a board with more than 25 rows, a page selector appears above and below it. Turning a page changes only which people are drawn — the totals, the award warnings and the Unassigned row are about the whole period either way, and Unassigned stays on every page.
  6. Click an empty cell — or empty time in the day view — to create a shift, or click a shift to open its drawer.
  7. Open a saved shift to put a company vehicle on each person, under Vehicles in its drawer. Their odometer readings appear there as they take them, with the distance the vehicle drove and any photo; a line in amber means more kilometres were recorded in the company car than it drove.
  8. Drag a shift from one staff row onto another to move it to that person. This works on the Week frame in the staff view — the caption under the board says so.
  9. The drawer has three tabs: Details, Activity (who changed what) and Signatures.
  10. Use Bulk edit shifts to change a selection at once — staff, service, time, address or allowances.
  11. Dictate shifts (where AI assistance is on) turns what you say or type — who it is for, the day, the times and who works it — into draft shifts for the week on screen. Names are matched against your own carers and clients: when a name fits more than one person, or belongs to a carer and a client alike, the draft leaves it for you to pick. Open each draft in the shift form, check every field and press Create — one at a time; the shift's Activity then says it was drafted from speech, with the words.
  12. Roster assistant (beside Copy week) proposes someone for every shift this week that is still short of people — the clients with the smallest teams first, then the earliest — and gives its reasons: who has worked with the client in the last six months, who is free and qualified, whether it would leave a gap in someone's day, and when one carer already works nearly all of a client's hours.
  13. A shift can carry more than one type of support. Open it and use ✂ Split beside a person's name to slice it — travel at the edges, care in the middle — and each part bills its own line item. A split shift then shows its colours as a strip on the tile, and its breakdown when you hover.
  14. Instructions for staff has a small toolbar — bold, italic, underline, five colours, bulleted and numbered lists, and links — and a preview under the box shows it exactly as staff will see it on their phone. Emojis type as they are, and pasting brings the words only.
  15. Shift templates keep a shift's set-up under a name, for any day: open a shift, then Actions, then Save as template. A new shift then offers Start from a template at the top of its form, and Shift templates in the roster's toolbar lists them, starts a new shift from one, renames and deletes.
  16. A different person each week: in a new shift's Repeats, switch on A different person each week and add the carers in the order they take turns — two to six. Each week of the series goes to the next of them (a fortnightly series moves on each fortnight), a Monday-and-Wednesday series gives both days of a week to the same person, and extending the series, or changing this and later shifts, carries on the turns.
  17. Shift requests: where Settings lets your carers ask for shifts, each request waits under Shift requests in the toolbar (it shows only while one is waiting), soonest first. Book opens the New shift form filled from it — the person who asked, the client or their own time, the day and the times — and Create shift books it and tells them; Decline asks for a reason they read.
  18. Open the visit takes you to it, where Cancel shift makes the cancellation and tells them; Keep it keeps the visit with a reason they read on their portal.
  19. Settings → Rules → Families ask at least sets how many hours before a visit a family's request must come (0 = any time before it). Inside it, their portal says to call the office.
  20. Under the board, Shift types breaks the day, week or month you are looking at down by line item, with percentages.
  21. Extend until, on a repeating shift: as you pick the date, the form says how many shifts it will add and from when to when, before anything is added, and Extend waits until it has said so. One Extend puts up to 26 weeks on the roster; when the date you picked is further out, the series keeps that date as its end and Corella reminds you three weeks before the new shifts run out, so you extend again.
  22. A shift can count as more than one appointment type: under its Appointment type, tick the others it also counts as. The roster's filter by type then shows it under each — but pay and billing follow the main type alone.
  23. When the roster stops short of the end you chose, its line says how far the roster reaches ("on the roster to 15 Feb 2027"), and Corella reminds you three weeks before; the reminder opens that last shift, where Extend until is.
  24. Once somebody on a shift has clocked on, or its timesheet has moved past Draft, the shift's form shows a Timesheets panel: each person's status, the scheduled and clocked hours with the difference, a late clock-off, the location notes, and the kilometres and travel claimed — what the Timesheets page shows — with that page's Approve (scheduled or clock times) and Undo.
  25. Text this open shift (in the shift's Actions, once it is published and on the job board, where your practice's texts are on) texts its day and hours to the people who could take it — the same people the app tells about open shifts — leaving out anyone already on it or who has asked for it; the client's details stay in the app. Before anything goes, it shows who it reaches, who it leaves out and why, the text exactly as they read it, and its cost at 10¢ a part. A shift can be texted once every 10 minutes.
  26. Each shift on the week's roster has a ⋯ in its corner, shown as you point at the shift: Open shift, Copy to a new shift, Post to job board (or Remove from job board), Text this open shift and Cancel shift… — straight from the roster. Cancel shift… asks exactly what the shift's own Cancel asks.

Tips

  • The day view's hours come from that day's own work, so a quiet day shows office hours and a day with an early start or a sleepover shows more. The caption under the grid says which hours are on screen.
  • Print always prints a WEEK, whichever frame you are looking at — the button says so when you are on a day or a month.
  • Changing a shift's times changes its hours, and hours are pay. The review step shows the number you are agreeing to.
  • Conflict warnings can be overridden with the tick, but the override is recorded against your name.
  • Assign on a roster assistant proposal runs the same checks as assigning from the match list. A warning found at that moment is shown first; Assign anyway goes ahead and is recorded on the shift's history against your name, like any other override.
  • Under Staff the drawer lists who has confirmed and when. Moving the visit's time asks the carers to confirm again.
  • The team leader and DSL on that panel come from two different places, so they read blank for different reasons. A team leader is set per team in Settings → Teams.
  • Drop a tile on a different day and only the carer moves — the message tells you the date it stayed on, and you change a date by opening the shift.
  • An invoiced shift refuses the move and says to void the invoice first.
  • The team is every active carer in a team the client is in (their Edit profile → Teams). A greyed carer can still be chosen — the save warns, as it always has; a blocked carer already on the shift stays greyed so you can take them off.
  • A client whose record says only their team works with them is offered only staff on their teams; the picker says how many it left out, and saving with anyone else is refused.
  • If the shift sits on a case with a contract or purchase-order limit, or a funding allocation, the drawer says before you save whether this shift would take it near, up to or over that limit — in dollars, visits or hours, whichever the agreement is counted in. It is a warning like the others: tick Save anyway and the shift is booked and billed in full. The same limit still shows on Payers → Contracts and in the nightly alert.

On this screen

The shift drawer — new shift and edit shift

The whole of one shift in one panel: who it is for, who works it, when, where, the service it bills against, and what has to be recorded. Opening an existing shift also gives you Activity (who changed what) and Signatures.

  • Changing the times changes the hours, and hours are pay.
  • The Notes box is instructions to the carer before the shift — the gate code, what to bring, what to watch for.
  • Support at Home funding appears for a participant who holds a Restorative Care Pathway, AT-HM or End-of-Life funding on the day.
  • The service decides the price.
  • Conflict warnings can be overridden with the tick, but the override is recorded against your name.
  • Travel time after the visit is the time the carer needs to get to the next one.
  • Travel time is only for planning.
  • “What was updated?” beside Save is optional and worth typing — it leads the Activity entry in quotes, so the next person reads WHY rather than guessing from a diff.
  • Buddy shift (training) appears once a second carer is on the shift. Tick whoever is there to be trained, then say who pays: the client's funds, or Admin/training if the business is carrying the cost.
  • It saves with the shift, so you can set it when you create it rather than fixing it afterwards.
  • What the business paid for training that week is on Timesheets, costed with the same award rules that pay the shift.
  • Actions → “Message about client” opens the messaging panel over the roster, already narrowed to the client on this shift. It closes this drawer first — the roster stays where it was, and the shift reopens with one click.

Change a run of shifts at once (bulk edit)

Change many shifts in one go — the carer, the client, the service, the times, the address or the allowances — with a review table before anything is written.

  • Over twenty shifts you have to acknowledge the count before it runs.

Split — per-participant billing segments

Divide one shift into priced segments, so parts of it bill differently or to different clients.

  • A part of a split is a stretch of time, so it bills a line item charged by the hour.
  • Travel at the start and Travel at the end add a 30-minute travel part, billed at the line item of the support beside it as a travel claim — the NDIS rule for travel time. Its time moves like any other part's, and the ✕ merges it away.
  • The NDIS item number still comes from the service you chose. If the funder wants a different item for group support, pick the group service; but then leave the ratio at 1:1, because a group price is already per person and setting both charges half of a half.
  • Kilometres driven to the shift are still charged, as Settings, then Organisation says.
  • You can split a shift while you create it: press Split beside the person in the New shift form.
  • A repeating shift gets the same split on every shift it creates, at the same times of day. Apply to all later ones and Extend carry a shift's split to the later shifts the same way, and Copy week copies it.
  • When a shift's times change, its split moves with them: the first part starts when the shift starts, the last ends when it ends, and the changes between keep their times. A change that would fall outside the new times stops the save — remove the split first, or keep the times.

Cancel shift

Cancel one shift, or this one and every later occurrence in the series.

Copy this week's shifts

Duplicate a whole week onto another week.

Dictate shifts

Say or type the shifts you want this week, and each comes back as a draft you open in the shift form, one at a time.

  • Each draft opens the New shift form with what was heard; check every field and press Create. A name that fits more than one person — or a carer and a client alike — is left for you to pick.

Shift templates

Your saved shift set-ups, each with what it fills. Start a new shift from one, rename it or delete it.

Save as template

Keep this shift's set-up under a name — its times of day, service, people, instructions and tasks — to start new shifts from on any day.

  • What is kept is the shift as it is saved now: change the shift and save it first if the template should have the change.
  • One template per name: a second with the same name is refused, whatever its capitals or spaces.

Shift requests

The shifts your carers have asked for and that are still waiting, soonest first — book each one or decline it.

  • A decline needs a reason, and the person who asked reads it word for word.

This is the help Corella shows on this screen, word for word, written in its default words: client and carer.
