Rostering and timesheets

An event

Step by step

  1. The list (CSV) is for the caterer or the door: names, answers, guests, your questions' answers and who arrived. On the day, tick Arrived as people come.
  2. At an event marked Staff attend as paid time, each staff member you tick Arrived gets the event's time on their timesheet, waiting for approval with everyone else's, at their own pay rate for the day and time. Untick them and it comes off. Timesheets for that week opens it.
  3. At an event taking questions for the host, each person's questions arrive with their answer: Questions for the host lists them by who asked, and the list (CSV) has a column of them.
  4. At a one-on-one, Times lists each time and who has it. Book puts someone invited into a free time — someone who rang, or who has only a phone number — and emails them their time. Free this time gives it back to everyone, and Add times offers more, on the same day or another.

Tips

  • With a number of places, a Yes past them goes on the waiting list in the order it came.
  • At a one-on-one, each person's calendar file holds their own time: a changed time replaces it, and a time freed or an event cancelled comes off their calendar. At one marked paid, a staff member ticked Arrived gets their own time on their timesheet.
  • Time already approved stays when Arrived is unticked or the event is cancelled: take the approval off in Timesheets first.
  • The New event form says so as you set the times.
