Recommended, not required — except for SDA

The NDIA recommends a written service agreement whenever a participant starts with a new provider; it's only mandatory for specialist disability accommodation. A short agreement is still worth having: it's where the price, the cancellation terms and the way to complain are written down before the work starts.

What is a service agreement? — NDIA

Charges agreed before the work

The NDIA's pricing arrangements allow travel to be claimed only if it's agreed in advance, expect cancellation terms to be in the agreement, and don't let providers charge for preparing the agreement. These come from the 2025-26 arrangements, the latest detailed version published — check for the 2026-27 update.

Registered providers: signed by both

If you're registered, the Practice Standards expect the agreement to be developed with the participant and explained in a way they understand, with a copy signed by both of you — or a record of why there isn't one.

Claims within 90 days, from 1 December 2026

From 1 December 2026, claims for NDIS payment must be made within 90 days of the support, down from two years — worth a line in how you invoice.

What makes it a good record.

Short is enough when the work is simple

One or two supports, a set price and no travel or non-face-to-face charges: these two pages cover it. Several supports, travel, reports or SIL means the full template.

Write the price you agreed

The NDIS price limit is a ceiling. Put the price you've actually agreed, per unit, and an estimate for the period.

Say it before it happens

Cancellations, travel and how to end the agreement cause most disputes. A sentence each, agreed at the start, saves the argument later.

Go through it together

Read it through with the participant, in their language and format, and give them time to think it over before they sign.

Give them a copy

The participant keeps a signed copy. Note the date you gave it, and keep yours with your records.

Keep it current

A new support, a new price or a new NDIS plan usually means a new agreement — or at least a signed change.

Is a short service agreement enough?
For a sole trader delivering one or two supports at a set price, usually yes — it covers who it's between, the supports and price, cancellations, privacy, complaints, ending it and the signatures. If you charge travel or non-face-to-face time, deliver several supports, or work in SIL or SDA, use the full template.
Do sole traders need a service agreement at all?
It's only mandatory for specialist disability accommodation, but the NDIA recommends one whenever a participant starts with a new provider. It's also your record of what was agreed — the price, the cancellation terms and how to complain — if there's ever a disagreement.
Can I charge a cancellation fee?
Only on the terms written into the agreement, and within the NDIA's pricing arrangements, which set when a short-notice cancellation can be claimed and how much. They're updated each year, so check the current version before you write your terms.
Can I charge for my travel?
Only if it's agreed in advance and written into the agreement, within the NDIA's pricing arrangements for provider travel. If you do charge travel, the full template has room for the basis, the rate and any cap.
What if the participant has a nominee or guardian?
Write their name and the basis of their authority — a plan nominee, a guardianship order, or a parent of a child — and have them sign. Explain the agreement to the participant too, in a way they understand.
